The Liquor Distribution Branch is one of Canada’s largest distributors and retailers of beverage alcohol. At the Liquor Distribution Branch we are driven by innovation and have a passion for the future and are looking for a dynamic professional to join our team.

Legal Council resides within the General Manager and CEO office but is part of the Ministry of Justice, Legal Services Branch. It is within this environment that the Administrative Assistant, Legal Services operates and extensive knowledge of the nature and functions of the LDB is essential. This position is one of nine (9) reporting to the General Manager and is one of two administrative staff reporting into this office. The Administrative Assistant, Legal Services provides confidential administrative support and assistance to various Legal Counsel and, as such, is excluded from union membership.

Qualifications:

Education and Experience
  • Minimum of three years recent administrative support experience, preferably in an executive assistant capacity.
  • Recent experience providing senior administrative support in a legal office environment.
  • Certificate in Legal Office Administration, preferred.
  • Recent experience with file management of files specifically related to legal issues.
  • Some legal courses, preferred.
  • Equivalent combinations of education, training and experience may be considered.
 Knowledge
  • Advanced knowledge of relevant legal terminology.
  • Understanding of the structure and relationships of government, its ministries and agencies.
  • Working knowledge of how to conduct legal searches with minimal direction from legal counsel.
  • An understanding of solicitor-client privilege with its requirement for confidentiality.
  • Proficient knowledge of standard office software applications:  word processing, data entry applications, electronic mail (Microsoft Word, Excel, PowerPoint and Outlook; CRMS (Corporate Records Management System) and CLIFF (document tracking system); 50 wpm keyboarding skills. 
 Skills & Abilities
  •  Excellent communication skills and experience in dealing directly with the public.
  • Ability to draft, reformat and critically review correspondence and contracts for issues.
  • Demonstrated ability to manage appropriate priorities for workload, with flexibility in responding to changing workload and priorities, while recognizing time and legal limitation pressures.
  • Proven ability to work independently and exercise good judgement in evaluating the correct course of action to be taken.
  • Demonstrated ability to deal with confidential and sensitive matters using sound judgement, tact and diplomacy.
