Summary
This position is in the Office of the General Counsel, U.S. Department of Transportation (DOT). The Staff Assistant performs a wide variety of administrative duties in support of the work of attorneys and other personnel working with the offices of General Law, International Law, and Litigation and Enforcement. You will provide a variety of administrative, clerical and technical support to facilitate and coordinate the work flow of the office, including support for meetings, telephone conferences, making travel arrangements for senior staff, and ensuring consistency and efficiency in the implementation of administrative policies, practices, and procedures.
The ideal candidate for this position will have excellent analytical and administrative skills; to plan and assist in carrying out programs, projects, studies and other administrative work. Candidate must have excellent communication skills and have the ability to provide technical assistance to program managers and senior staff. The ideal candidate must also have experience exercising tact, discretion and persuasiveness when resolving sensitive issues.

As a Staff Assistant, you will:
- Manage the various administrative processes within the office and ensure that procedures meet office needs. Establish and continually review, update, and develop complex administrative office procedures that affect the orderly and efficient flow of work within the office and with parties and agencies outside the organization.
- Review and analyze administrative policies, clarify complex and confusing guidelines, and make recommendations to higher level staff for changes to administrative policies. Respond to administrative issues and inquiries and resolve a variety of conflicts regarding administrative policies and processes.
- Provide assistance for the management and flow of all correspondence tasked to the program office assigned. Provide close administrative support for the office ethics counsel function. Provide a large volume of official letters and memoranda involving nominations of senior agency and important ethics advice.
- Schedule and coordinate meetings, events, conferences for the assigned program. Provide professional logistical support in the conduct of high-level meetings attended by senior officials. Perform timekeeping responsibilities for the assigned program office. Coordinate travel arrangements in an accurate and timely manner.
- Maintain the Suspense Database inputting all taskers' related information accurately into the suspense database in a timely manner. Receive visitors and telephone calls for the office. Receive calls from public and determines the appropriate personnel that is needed to assist/follow-up.
