The New Mexico VA Health Care System (NMVAHCS) is looking for a Administrative Support Assistant to join their team! The position is located within Neurology Service. The incumbent serves as the Administrative Support Assistant to Neurology Service. The duties responsible of the position is accomplished to relieve the Manager of as many administrative and clerical portions of the service as possible.
Additional duties include but are not limited to the following:
Receive calls, greets visitors, and directs to the appropriate staff members
Screening calls and personally answering calls
Preparing a variety of recurring reports
Reviewing outgoing correspondance for proper attachments or consolidating/coordinating submittals of information
Maintaining and tracking record for timely response to correspondence and reports
Maintaing suspense files on date-sensitive materials
Processing and distributing incoming mail, including flat and electronic
Editing and composing letters and reports and reviewing for accuracy and completeness
Preparing public presentation outlines
Obtaining and monitoring the use of services, supplies, or equipment for the office

Physical Requirements: No special demands or qualifications are required to perform the work. The work is predominantly sedentary: however, it includes walking, standing, bending and carrying of light items such as files and papers. Time-in-grade: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements.
Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement. Experience Requirements at GS-05:Applicants must have One year of specialized experience equivalent to at least the next lower grade (GS- 04 ) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Prepare timely and accurate correspondence, memoranda, procedures, reports, special documents, and meeting minutes; Establishing and maintaining service generated files; Composing and prepare memoranda and forms justifying or requesting supplies, equipment, and work orders; Prioritize, establish, reschedule, or refuse appointments; Prepares proper documents required for ordering equipment/supplies; Manages inquiries from a variety of staff and assists them in problem-solving issues; Serve as a liaison to administrative staff and affiliates of a facility; Handle numerous phone calls daily, triages/troubleshoots all calls; Develop faculty, staff, and trainee schedules; Ensures activities are scheduled timely and accurately; Schedule committee meetings, including making reservations for meeting rooms and notifying all participants; and use a computer and a variety of software packages (word processing, Excel, PowerPoint, Outlook, etc.). OR
Applicants may substitute education for the experience required for the GS-05 level. Applicants must possess education 4 full years above from an accredited university or college in a closely related field. (Transcripts Required) OR
Applicants may also combine education and experience to qualify at the GS-05 level. To calculate, first identify the percentage of required education you have earned (when substituting, you cannot use the first 60 semester hours that you earned). Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-05. For example, an applicant who has 9 semester hours of graduate level education (i.e. 50% of graduate education required) and 6 months of creditable specialized experience (i.e. 50% of the required experience) would equal 100% of the required experience for the position . A transcript must be submitted with your application if you are basing all or part of your qualifications on education.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
