Duties
The Medical Support Assistant (MSA) in the Inpatient, Ward Administration of the Nursing and Patient Care Services department, works under the direction of the Medical Administrative Officer at the VA San Diego Healthcare System. The MSA is responsible for the clerical/administrative duties of the unit as required to support quality patient care and serves as one of the primary coordinators for the total care and treatment of the hospitalized patient. The MSA is responsible for the daily workflow of the Inpatient units. The MSA serves as the receptionist for the nursing station with the ability to determine the nature of calls and answering questions of visitors and patients of the ward.
Specifically:
· Respond appropriately and assures that all messages are communicated in a timely manner.
· Handles all patient information in accordance with provisions of the Privacy Act.
· Accurately and promptly processes patient movements (admissions, discharges, transfers) in Vista and Computerized Patient System according to established training.
· Processes all discharges and transfers to other VA facilities or to private hospitals.
· Verifies providers' orders and notifies nursing staff of STAT and emergent orders.
· Accurately maintains and reviews patients' medical records according to standardized procedures; coordinates the release of information.
· Arranges and coordinates inpatient appointments for timeliness and to avoid conflicts in patient treatment.
· Able to retrieve and scan existing documents.
· Updates each patient's whiteboard in each room.
· Ensures that the Bed Management System (BMS) is accurate and updated.
· Assists with the orientation/on the job training of new staff.
· Maintains office supplies and automated equipment.
· Communicates with housekeeping and nursing staff of beds and other areas of the ward/unit that need attention.
· Completes work orders and contacts appropriate staff when requested for emergency repairs of special requests.
· Inputs and extracts data of a highly technical nature.
· Ensure productivity is maintained at the established level.
Work Schedule: Full Time, 40 hours a week, Rotating work schedule; variable shift to include nights, weekends and holidays, and possible overtime, as required to meet patient care needs.
