Personal Assistant cum Receptionist
Reports to: – Managing Director
Duties and Responsibilities
- Provide official Personal Assistant and Administrative support principally for the Managing Director.
- Logging, processing and disseminating correspondences as far as MD undertaking is concerned.
- Drafting standards correspondences, producing letters, papers and other documentation to the highest standards of presentation.
- To ensure that copies of letters are filed in relevant files.
- Advance planning and logistical support for meetings.
- Acting as first point of contact in the Managing Director’s office for all internal and external enquires by telephone and personal.
- Follow up of payment of the Director’s expenses, processing of invoices using the organization’s financial system.
- Developing and maintaining relevant databases and filing systems for optimal management of information and contacts.
- Maintaining the office inventory and stationary supplies and utility services maintenance.
- Manage petty cash of the company.
- Support typing of tender documents and formatting of tender documents before submission.
- Support other staff in the process of developing tender documents.
- To attend guests/customers and direct them appropriately.
- To perform any other official duties as may be assigned by relevant authorities of the company.
Qualification and Experience
- Holder of Form four proven certificate of Secondary Education with credit passes in English and Kiswahili.
- Diploma in secretarial studies and administration or any related field of study from recognized institution.
- Must have at least 3.8 GPA at diploma level.
- Experience of working in private firms or consulting firms is an added advantage.
SKILLS
- Good typing speed and mastery of MS Word, Excel and PowerPoint.
- Good command of both written and spoken English.
- Ability to work independently, under pressure and with minimum supervision.
- Ability to work with people from all backgrounds
- Proven integrity and good personality
