Are you looking to showcase your knowledge and skills in recruitment and administration? Consider this opportunity to provide confidential recruitment support and coordination services to the Correctional Services Recruitment Unit, Ministry of Community Safety and Correctional Services.

What can I expect to do in this role?

In this role, you will:
• Respond to inquiries from applicant and the general public, verbally and/or in writing, relating to the ministry's recruitment, assessment and selection processes and hiring initiatives
• Refer urgent, complex and contentious queries/issues to the appropriate staff member
• Manage electronic and hard copy record and filing systems for applicants by entering applicant information into system as well as ensuring ongoing accuracy, currency and confidentiality of information throughout all stages of the recruitment process
• Manage and administer the closing and retention of applicant files in accordance with government records retention guidelines
• Coordinate and schedule applicant testing and interviews, including French language testing, and prepare and maintain written records of all testing
• Issue and monitor responses to requests for reference checks and record receipt
• Liaise with internal and external stakeholders to share information and provide direction regarding recruitment, assessment and selection processes as appropriate
• Track and maintain records required to compile statistical data on all aspects of recruitment, assessment and selection processes as required
• Prepare hiring, employment, and orientation documentation to advise candidates of their status throughout the various stages of the recruitment process.

How do I qualify?

Knowledge and Experience:

• You have experience with human resources and recruitment methods, processes, and best practices in order to provide recruitment support activities for the unit
• You have an understanding of human resources policies and procedures
• You have knowledge of information management practices and procedures for large volumes of data/records (both hard copy and electronic records) in order to ensure an organized and current record of applicant information/recruitment records
• You can effectively manage, retrieve, and retain data/information according to government/ministry requirements
• You are able to acquire knowledge of and apply the Freedom of Information and Privacy Protection Act (FIPPA) to ensure that all applicant information is maintained in accordance with legislated requirements

Communication and Interpersonal Skills:

• You can respond with courtesy to a range of inquiries/questions from members of the public, applicants, internal/external stakeholders
• You are able to discuss and resolve arising recruitment support issues with unit staff/management
• You can work efficiently and independently and/or as part of a team
• You can liaise/coordinate with correctional institutions and community offices across the province

Organizational, Coordination, and Time Management Skills:

• You have excellent organizational and time management skills, and are adept at working in a fast paced environment with changing priorities
• You can prioritize your workload to meet competing deadlines and time frames
• You can manage and maintain bring forward filing system for issues and/or outstanding applicant information
• You are able to schedule interviews and testing sessions effectively and efficiently, address requests for changes appropriately, and prepare interview and testing materials
• You can monitor supplies required to ensure sufficient volumes are always available

Analytical and Problem-Solving Skills:

• You are able to provide detailed information and explanations of processes, procedures, and policies regarding recruitment activities and initiatives
• You can maintain, update, and retrieve information from files while ensuring security and confidentiality of documentation
• You are able to appropriately address questions/concerns from potential applicants to assist them in navigating the recruitment process
• You can prepare written reports and compile statistical information as required for the Manager

Technical Skills:

• You are proficient with word processing, spreadsheet, email, and presentation software, and large volume records/data management systems to prepare a range of documentation, reports, correspondence, presentations, and statistics
• You are able to operate telephone hotline system as well as general email box to respond to a high volume of incoming inquiries

The screening check(s) will only be reviewed and evaluated by the TSO for the purpose of making a security clearance decision. The details of an individual's screening check(s) will be considered in specific relation to the duties and responsibilities of the position being filled. Screening check records will be maintained by the TSO and kept strictly confidential.
