Summary
This position is located in the National Institute of Food and Agriculture’s Office of the Director. If you enjoy interacting with science and agricultural professionals across government, industry, and academia, this is the place for you. We are seeking motivated and organized individuals to manage various administrative needs and scheduling of multiple senior executives and other staff.
This vacancy will close 09/29/2017 or upon receipt of the first 50 applications; whichever occurs first.
Serving as office manager with complete responsibility for all operations of the Associate Directors Office.
Exercising exclusive control over the Associate Directors appointments with complete authority for commitment of time.
Completing all travel arrangements for the Associate Director and furnishing itineraries to officials and staff members.
Serving as a Controlled Correspondence Officer and working with the staff of the USDA Office of the Executive Secretariat.
Using judgment in screening callers, determining the nature of the calls and directing them to the appropriate member.
Receiving and routing incoming correspondence and mail addressed to the Office of the Director; responding to issues or requests; and forwarding the remainder to appropriate staff for reply. Following up as necessary to assure reply is forwarded and/or answered in a reasonable time.
You must be able to type a minimum of 40 words per minute.
If you are newly hired, the documentation you present for purposes of completing the Department Homeland Security (DHS) Form I-9 on your entry-on-duty date will be verified through the DHS "E-VERIFY" system. Federal law requires the use of E-VERIFY to confirm the employment eligibility of all new hires. Under this system, the new hire is required to resolve any identified discrepancies as a condition of continued employment.

Qualifications
Applicants must meet all qualifications and eligibility requirements by 11:59 pm Eastern Time on the closing date of the announcement.
To qualify at the GS-08 level applicants must have one year of specialized experience comparable to the GS-07 level in Federal service, which is directly related to the work of this position and which has equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position. Specialized experience is fulfilled by the following: maintaining calendars and scheduling for a senior executive or political appointee; reserving and managing travel arrangements and preparing associated travel authorizations and vouchers using an electronic travel system; using a document control database system to monitor and update controlled correspondence; providing administrative/clerical office support (i.e., typing, filing, greeting visitors, scheduling appointments/meetings, answering/routing phone calls, and providing information); use of office automation equipment to input data, prepare and track updates to correspondence, reports, etc.; handling requests for information; selecting and applying appropriate administrative or office procedures to resolve issues or problems; and using programs, such as Microsoft Office (Word, Excel, and Outlook) for preparation of reports, correspondence, memoranda, and other forms of written communication;
To qualify at the GS-09 level applicants must have one year of specialized experience comparable to the GS-08 level in Federal service, which is directly related to the work of this position and which has equipped he applicant with the knowledge, skills, and abilities to perform successfully the duties of the position. Specialized experience is fulfilled by the following: maintaining calendars and scheduling for multiple senior executives or political appointees concurrently; reserving and managing domestic and international travel arrangements and preparing travel authorizations and subsequent travel vouchers for senior executives/political appointees using an electronic travel system; monitoring, assigning, and preparing controlled correspondence in a document control database system; providing administrative/clerical office support (i.e., typing, filing, greeting visitors, answering/routing phone calls, and providing information);use of office automation equipment to prepare correspondence, reports, input data, etc.; maintaining total and complete discretion and confidentiality when dealing with sensitive information; ensuring written materials are complete, accurate, and contain correct usage of grammar, spelling, punctuation, and structure; using time management techniques to meet deadlines; collection, compilation, research, and/or tracking of data and statistical information; interpretation and application of rules, regulations, policies and procedures; independently handling requests for information and resolving administrative issues or problems; providing guidance to and coordination with other secretaries of other offices; developing or modifying administrative or office procedures, and using programs, such as Microsoft Office (Word, Excel, and Outlook) for preparation of reports, correspondence, memoranda, and other forms of written communication.
