Duties

This position is located in the Support Services Division, Atlanta Regional Office, Decatur, GA. Based on a sound knowledge of the organization and programs under the SSD's span of control, the incumbent independently resolves problems associated with the administrative and operational functions of the SSD.
Duties:
As a Program Support Assistant for the Veteran Benefits Administration you will:
- Assists in establishing and maintaining controls of reports for division-wide Systematic Analyses of Operations (SAO) and internal controls in order to ensure timeliness and accuracy.
- Establishes completion timeliness, follows up with the identified points of contact, and serves as the primary reviewer of the completed report for typing, grammatical and content errors.
- Assembles monthly photocopy count data and mailroom count data (to include incoming/outgoing mail count, presort mail count, presort savings, delivery runs, etc.) for submission to appropriate entities. Analyzes the data gathered to determine and evaluate results, trends, and developments.
- Writes instructions needed to implement changes in reporting procedures and completes daily reporting of work accomplished and pending.
- Maintains the SSD Report Log system to ensure deadlines are met for all reports, quality assurance reviews, and audits. Compiles, maintains, and analyzes data for completion of reports (i.e., GSA vehicles, Transit Benefits, etc.).
- Responsible for control and preparation of internal reports, including monthly, quarterly, semi-annual, and annual reports.
- Processes incoming and outgoing mail and processes express mail. Assists in the management of the unit mail management system.
- Ensures that incoming public inquiries, and that staff mail, is properly opened, logged, read, date stamped and sorted into established categories for distribution to appropriate units and staff.
- Improves mail methods, procedures, and systems by adapting or changing established mail procedures.
- Reviews and researches returned mail to determine the reason(s) for its return and routes mail to the appropriate unit for action.
- Sets up, operates, adjusts, maintains and monitors the operation of single- or multiple-function equipment typical of a mail, duplicating and reproduction function, such as a high speed printer and other printers, a scanner, copiers, an electronic date stamp machine, and mail meter machines.
- Diagnoses equipment malfunctions, operating problems, and performs corrective adjustments. Performs operator maintenance such as daily clean up and lubrication. Performs minor repairs to copiers.
- Ensures identification and isolation of suspicious letters and packages to include explosive devices or any chemical, biological, or radiological substances.
- Reproduces veterans' records using a photocopy machine and/or a microfiche printer. Reproduces and makes initial distribution, to the various divisions, of regulations, circulars, forms and other items transmitted to the Publications Control Officer (PCO) mailbox.
- Takes forms and publications orders. Maintains an inventory of forms and orders forms when necessary. Conducts an annual inventory of forms stock and determines the need for replenishment, which forms need to be recategorized as "low usage," and/or which forms need to be discontinued. Also performs a semi-annual forms review to ensure that all divisions with the RO are using the most current forms available.
- Ensures that adequate supplies are maintained and oversees the receipt of bulk supply orders and the distribution of supplies to operating divisions. Analyzes supply levels on a recurring basis to determine the rate of utilization and advises the Support Services Specialist when supply orders are required.
- Receives, warehouses, issues and maintains stock levels for a wide variety of supplies, for office furniture, for office machines, and for other non-expendable materials.
- Operates office automation equipment for preparation of correspondence and reports. Serves as alternate liaison for identifying computer malfunctions within the division and notifies the systems administrator of problems.
- Acts as liaison between the Chief, Support Services or the Supervisory Support Services Specialist, and other divisions and staff by providing guidance and assistance on procedures, report requirements, deadlines and related matters.

Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
