Duties
The incumbents serve as an Advanced Medical Support Assistant in Specialty Clinics under Health Administration Service. He/she works at a teaching hospital affiliated with the University of California, Los Angeles (UCLA) Medical Center and Cedars Sinai Medical Center at the U.S. Department of Veterans Affairs (VA) Great Los Angeles Healthcare System, Los Angeles, CA. In these positions, you will be responsible for ensuring the management of accurate and timely patient care coordination in outpatient clinics located at West Los Angeles Medical Center (WLA), Sepulveda Ambulatory Care Center (SACC), and Los Angeles Ambulatory Care Center (LAACC). You will be assigned to one primary location, but may be required to cover at the other facilities on occasion.
Major duties include and responsibilities include but are not limited to:
· Schedule appointments, including interpreting and verifying provide Return Clinic Orders in accordance with VHA national scheduling guidelines.
· Develop and maintain a tracking system for follow up patient care across disciplines.
· Explain VA's mandate to collect insurance information from the veterans, their families and other eligible patients.
· Collect insurance information from the veterans, their families and other eligible patients.
· Collect, scan and update all health insurance information serving a major role in the revenue process.
· Perform clinic management duties, customer service, and other duties assigned for the proper and timely treatment of patients within the interdisciplinary team mode.
· Review the scheduling grid and proactively move patients waiting greater than 14 days into sooner canceled appointments.
· Check patients into and out of the clinic and schedules all follow up appointments within 3 months on the spot.
· Perform a daily review of the insurance capture buffer, no-show appointments, administrative encounter errors, the Electronic Wait List, manual cancelations and reschedule emails, all voicemail left in the clinic voicemail boxes, and active and pending consults.
· Complete all additional assignments and rotation duties, accurately, in a timely manner, and in accordance with VA policies.
Work Schedule: Monday- Friday 8:00am-4:00pm; 8:30-4:30pm
